STALLHOLDERS EXPRESSION OF INTEREST
 
If you would like to register your interest in applying for a stall at the Summerfest, please fill out the Stall Information form.

Please ensure that you get those details to us by 1 December 2008.

ROTARY HEADQUARTERS
During the Summerfest, the HQ will be the caravan, position to be notified in due course.

Rotarians will be on duty and will be clearly identifiable to the stallholders & the general public. Please ask them for assistance when necessary and they will do all that they can to eliminate any problems which may arise.

The Summerfest Convener and the Stallholder Officers will be on duty in the Caravan.

The Caravan will also act as a central point for handling LOST PROPERTY and caring for MISSING PERSONS. Calls for missing persons will be made over the tannoy system after they have been taken to the Caravan.

RENTS
The following charges will apply:
 
Area: 4x3m2 $65 +GST
  6x3m2 $95 +GST
  6x6m2 $130 +GST
  Booths $95 +GST
 
Larger areas are available by negotiation

10% Premium for corner sites.

STALLS
Stalls must be paid for in advance by December 14th, to allow for proper planning of the site and to eliminate the amount of cash in circulation on the day of the event for security reasons.
 
STALLS ARE NON-TRANSFERABLE
To ensure that the Summerfest presents a proper balance of product and to ensure Stallholders are known to us, please do not hand over a stall to a third party. Approval will NOT be given to someone else who claims that they have taken over a stall, even if they have “permission” from the appointed stallholder. We have a duty to all interested parties, that once a stallholder has relinquished their stall, it should go to another applicant on the list with a product that best suits the needs of the Summerfest at that time, as determined by the Management Committee. Sharing of a stall with a third party is acceptable, provided that the designated stallholder is present on the day of the Summerfest and takes full responsibility. In the event of failure to comply with these requirements, we will if necessary evict the stallholder from the site.

TYPE OF GOODS
Please make sure that you have given us an accurate description on the Expression of Interest form of all the products that you propose to sell from your stall. This allows us to maintain a balance of quality products at the Summerfest and to allocate stalls at the discretion of Rotary and also assists us in answering enquiries after the event. This includes the products of those with whom you may be sharing a stall.

CIVIL DEFENCE
We are required to ensure that access is maintained at all times for the emergency services to the entire site. A clear way will be marked around the site and stall must not encroach onto this area. Offenders will be requested to move their stall to comply with this requirement.

STALL ACCESS
Pitches will be clearly marked with the site number. Your stall must be set up in such a manner as to provide customers with access to you goods and also to the neighbouring stall holder’s goods. Stall holders who do not cooperate in this respect, will be ejected from the site and not invited back next year! Your stall must be up and running by 8.00am on the day of the event. No vehicles will be allowed onto the site after this time.
Please respect the area surrounding your stall and ensure that you remove all rubbish and packaging.

Please affix the appropriate sticker to your vehicle to assist the Rotary marshals in directing you to your site. Please bring your receipt for the site rental with you to avoid any confusion/dispute. Trestle tables will be available, but only if pre-booked at a cost of $20.00

GENERATORS
If you are reliant upon the use of a generator for your stall, please ensure that it is not an inconvenience to other stall holders; these are generally noisy, smelly and are a potential fire hazard. Please ensure that they are serviced to reduce the noise and emissions.

INSURANCE
Please arrange your own insurance and ensure that you have Public Liability insurance.

GENERAL POINTS

Please remember to stay within your allocated space.

Arrange your own change.

Keep all food ingredients chilled and hygienically stored and all cooking utensil clean and safe. You are responsible for the safe disposal of your own rubbish and waste water – remember that this is a commercial airfield and no litter is to be left lying around, as this may cause serious damage/incident.

A Health Inspector will be in attendance on the day, with the power to close your stall down if you fall foul of the current health and safety requirements.

Food stalls must have a warranted extinguisher; our Fire Safety Officer will be in attendance to check this.
